1. Who we are

2. What we collect, and why

Enquiry details. When you submit the enquiry form we store the name, company, email address, phone number, country, product interest, quantity and message you typed. We use it to answer you with a drawing and a quotation, which is work you asked us to do before any contract exists.

Technical details recorded with the enquiry. The page you submitted from, the website that referred you, any campaign parameters in the link you arrived on, your device type, and your IP address together with the country that address resolves to. We use this to see which pages and campaigns produce real enquiries and to keep automated spam out of the sales inbox.

Analytics — only if you accept. With your permission the site loads Google Analytics 4, which sets the _ga cookies and records pages viewed. Your IP address is anonymised by the tag. If you decline, the script is never requested. Details are on the cookies page.

We do not run advertising or remarketing tags, we do not record sessions or heatmaps, and we do not build profiles of visitors.

3. Who can see it

Enquiries are visible only to staff accounts that sign in to this site's administration area. The website and its database are hosted by our website platform, and enquiries are also delivered to our company mailbox — both process the data on our instructions. We do not sell, rent or share enquiry data with anyone else, and we do not use it for advertising.

4. How long we keep it

An enquiry is kept while your project is active and for up to 24 months after the last exchange, so that a repeat order or a specification question can be answered against the original drawing. After that it is deleted. If you ask us to delete it earlier, we do so and confirm in writing.

5. Your rights

You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or object to us keeping it. Write to mary@xmhdshelf.com and we will respond within one month. If you are in the EU or UK you also have the right to complain to your national data protection authority.

6. Where the data is processed

Our company and our website platform are based outside the EU and UK, so enquiry data is processed there. We rely on our providers' data processing terms and on the fact that the transfer is necessary to answer the enquiry you sent us. We do not transfer enquiry data to anyone else.

7. Security

The site is served over HTTPS. The enquiry database allows a visitor to add a record but not to read any record back, including their own. Staff access requires an individual account and password, and can be removed at any time.

8. Changes

If what we collect changes — for example if we start measuring advertising conversions — this page is updated and the date at the top changes with it.
